Place the CBC in the licensing sequence

The criminal background check is connected to the individual MU4 filing and the agencies reviewing the application. Complete the authorization in NMLS and select the jurisdictions that should receive the result before treating fingerprint capture as the next task.

The SAFE MLO test, PE, credit report, sponsorship, and CBC are separate gates. Passing the test does not order fingerprints automatically, and completing fingerprints does not activate a license.

If an employer is submitting or coordinating the filing, confirm who owns authorization, payment, scheduling, and status follow-up. Duplicate ownership often produces duplicate fees or missed deadlines.

Use the official Fieldprint handoff

When new fingerprints are required, NMLS provides the path to Fieldprint after the CBC request is authorized. Use that link and the identity information tied to the NMLS record; do not book a generic fingerprint service and assume it will reach the correct request.

Check that your legal name and identifying details match the NMLS record and acceptable identification. A mismatch can delay association or require support intervention.

Save the appointment confirmation, location, date, payment record, and any transaction or reference number. Those details are the fastest starting point if the NMLS status does not change.

Protect the 180-day fingerprint window

NMLS policy gives an authorized request a 180-day period for fingerprint submission. Treat the authorization date as the start of a countdown, not as proof that the CBC is complete.

Schedule early enough to recover from travel, identification, appointment, or fingerprint-quality problems. Waiting until the final week leaves little room for a second capture or support case.

If the request shows Expired, read the current NMLS instructions before paying or starting again. An expired status is an operational problem; it is not a judgment about license eligibility.

Check for conditional three-year fingerprint reuse

The April 2026 Policy Guidebook says NMLS can use fingerprints already on file that are less than three years old. The current NMLS CBC help page is more specific: fingerprints submitted for another NMLS-related process within the past three years may be reused when there has been no break in licensure or registration.

Do not assume that fingerprints taken for employment, a real-estate license, immigration, or another vendor can be imported. Reuse generally concerns fingerprints already available through the applicable NMLS process and still within policy conditions.

The two official pages use different levels of detail, so a date alone is not a promise of reuse. If NMLS presents a reuse option, confirm the jurisdictions and state requirements shown before proceeding. If it directs you to Fieldprint instead, follow that current instruction or contact NMLS support if the prior submission should be reviewed.

Read status as workflow, not as a character judgment

Pending Fingerprint means the individual still needs to schedule and have fingerprints taken. Processing Fingerprints or Processing Name Check means the background-check workflow is underway and the individual generally has no action at that stage.

Never interpret Closed by itself. Closed with Reason Closed shown as received means the process is complete and the official status chart says no action is needed from the individual. It still does not mean a state regulator approved the license.

Closed with Reason Closed shown as illegible means the FBI categorized the prints as illegible. The NMLS federal-registration status chart tells an RMLO to authorize a new CBC through MU4R and schedule fingerprints again, with no payment required during that repeat authorization. A state-license applicant should follow the current replacement path shown in the MU4 workflow or confirm it with the NMLS Call Center rather than assuming the form and fee steps are identical.

Expired generally signals that the allowed fingerprint-submission period ended before the request completed. Use the official NMLS status page for the current definition because labels and next steps can change.

Status labels and workflows can change. Read the current NMLS screen and official instructions, and contact the NMLS Call Center if Reason Closed is missing, different, or unclear.

Know who sees the result and who decides the license

The CBC authorization allows the selected participating regulators to receive the background-check result through NMLS. Criminal history details are not published as part of the public NMLS Consumer Access profile.

A CBC result is evidence for regulator review, not a pass-fail score generated by this website. Questions about the effect of a charge, conviction, expungement, disclosure answer, or state standard require the relevant regulator and, when appropriate, qualified legal counsel.

Some states or applicants outside the standard capture network may need an additional or alternative process. Follow the state checklist and current NMLS instructions rather than assuming Fieldprint completes every jurisdiction's requirement.

Common mistakes to avoid

Booking fingerprints before authorizing the CBC and selecting the correct states: Follow the MU4/NMLS sequence so the appointment is tied to the right request and regulators.
Ignoring the 180-day submission window after paying: Schedule early and track the request; an expired window can create delay and another fee.
Assuming a fingerprint date under three years automatically guarantees reuse: Check the current NMLS workflow, the no-break-in-licensure-or-registration condition, and the selected state's requirements before scheduling or relying on reuse.
Reading Closed without opening Reason Closed: Closed with received requires no action from the individual; Closed with illegible requires a new CBC authorization and another fingerprint appointment. Neither status is a licensing decision.
Assuming Consumer Access displays the criminal background report: Use the private NMLS status tools; CBC details are not a public Consumer Access profile field.
